Residential Conveyancing Legal Secretary
Working for 2 conveyancing solicitors permanently between the hours of 9.30 am to 5.30 pm, Monday to Friday, you will perform admin and clerical duties as it pertains to the job. You will handle customer relations by being a point of first contact via email or telephone. Your duties will include answering phone calls and setting up meetings with clients and others, assisting the partner/fee earner generally as required, taking and accurately recording messages as necessary, typing letters accurately as well as emails, notes and memoranda and you will familiarise yourself with and use the dictation and software systems. You will be responsible for mailing or sending all information to clients as required and assist with all accounting and bookkeeping matters. You will keep a careful record of all bookkeeping transactions and take care of orders of office supplies. You will also demonstrate knowledge of legal services as required. You will adhere to company policies and procedures; making sure that other staff do as well and schedule meetings and events as required. You will make copies of pertinent information and documents, greet clients as they arrive at the business, ensure that clients needs are fulfilled and take care of incoming and outgoing mail and email, conduct research as needed, distribute information as required by management, update client information, act upon complaints by a client and notify the relevant fee earner. You will also supervise other clerical staff as required and complete paperwork on behalf of the company. You will also maintain a knowledge of new office equipment and social media and manage any projects that require clerical work.   You will organise and assist with presentations or seminars if required, archive files and documents, keep client files in good order, preserve confidentially as to the firm and ensure that the work station provided is maintained in a good and tidy state. You will be professional and polite when dealing with clients and other workers and dress in attire which is suitable and befitting for the role.
